Welcome to Dr. Fletcher’s Practice! Please take a few moments to become familiar with the below practice policies, which will help promote your relationship with Dr. Fletcher.
Dr. Fletcher’s recommended treatment plan may include taking medication and/or participating in Psychotherapy. Your active participation in your treatment plan is vital to the success of you or your child’s improvement.
If your treatment involves medications, Dr. Fletcher will explain the important risks, benefits, alternatives, and side effects with you. In many instances, and in line with current treatment practices, Dr. Fletcher may use medications in an “Off Label” approach. This use will also be explained to you in full detail.
Dr. Fletcher looks forward to establishing a Therapeutic Relationship with you and your child built on trust and confidence and any other type of relationship (social or personal) could be unethical and not in the best interest of the patient.
Dr. Fletcher does not accept insurance payment assignment. This means that your treatment is not part of your permanent medical record with your insurance company, unless you choose to notify them. In addition, Dr. Fletcher can spend more time with you as he is not restricted to a set allowable length of session or a set allowable number of visits that may be indicated by your insurance provider. Payment is made directly to Gene Fletcher DO at the time of service. If you would like to submit your charges to your insurance carrier for reimbursement, a detailed billing statement can be generated at your request. Reimbursement of the session fees is dependent on individual insurance agreements.
Payment is due at the time of service unless other arrangements have been made in advance. Dr. Fletcher accepts Cash, Credit Cards, Debit Cards and Checks. Overdue accounts may be referred to collection agencies as a last resort. There is a $35 charge for unpaid returned checks.
As part of your visit with Dr. Fletcher, your sessions and anything you reveal are confidential. This information cannot be released to another person without your personal consent. If Dr. Fletcher believes that there is an imminent risk of harm to yourself or others, or if a judge requests information as part of a trial, then information you revealed can be released.
Session fees cover the cost of the visit and paperwork associated with completing the visit. This includes letters or records sent to your other Providers or Therapists in regards to your direct treatment. Personal requests for copies of your medical records will be billed at the allowable rate. Also, any requests for Forms, Summaries, Letters, or similar documents that are not related to your direct treatment will be billed at a rate of $300/hour in 5 minute increments. This includes, but not limited to Disability and Legal matters. Insurance does not cover these fees.
**In the future, Dr. Fletcher may perform Forensic work, including Child Custody Evaluations, but at this current time, he does not.
Dr. Fletcher does not take phone calls while he is with patients. Telephone Hours are Monday – Friday from 9am to 5pm. Most calls received during phone hours are returned by the end of that workday. Non-urgent messages left after hours will be returned by the end of the next business day. After hours “urgent” messages can be left for Dr. Fletcher using the phone answering system and will be returned promptly upon receipt. In the event of a Psychiatric or Medical Emergency – DO NOT LEAVE A MESSAGE, but rather contact 911 or go to your nearest Emergency Room (ER) and contact Dr. Fletcher once in the safety of the ER.
Dr. Fletcher will only refill medication for those patients who are active in treatment. He will provide you or your child an adequate amount of medication to last until your next follow up visit. If your next visit is cancelled for whatever reason, it is your responsibility to contact Dr. Fletcher to provide you with enough medication to last until your next appointment.
***For medication that cannot be phoned into a pharmacy, such as stimulant medication for ADHD, it is your responsibility to contact Dr. Fletcher at minimum one week prior to the end of your prescription and arrange to pick up. This will avoid a lapse in your medication.
At times, Dr. Fletcher will need to order laboratory studies. Please be aware that the cost of labs is not included in your visit charge and are your responsibility. Please ask the laboratory staff to explain their costs.
If Dr. Fletcher is out of town, appropriate coverage by a well-trained Psychiatrist will be provided.
As mentioned above, Dr. Fletcher enjoys establishing Therapeutic relationships with his patients, but occasionally and unfortunately, Dr. Fletcher may be forced to discontinue treatment with a patient. After a reasonable amount of discussion, this can usually be attributed to one of the following reasons:
If you foresee any problems in any of these areas, please let Dr. Fletcher know your concerns. If Dr. Fletcher feels there is an issue with one of these areas, he will address it with you right away and in a mutual and professional fashion.
If you decide to discontinue treatment, you may do so at any time in person, by phone or in writing. As your treating Psychiatrist, Dr. Fletcher would love the opportunity to confer with you about your decision and/or assist you in transferring your care to another provider. You may return to treatment with Dr. Fletcher at any time, as long as your treatment discontinued in good standing.

It is understood that there are times when patients have to cancel their appointments for unforeseen circumstances, and early cancellations are most appreciated.
Unfortunately, due to previous events, the following policy has had to be instituted.
Same Day Cancellation: $50
No prior cancellation and NO Show for Appointment: $100
Note: These fees will be applied to the Credit Card that is on file.
